Minutes of a Meeting 8th Jan 2009 held at JF

 Present :PJ,CPC,JC,TP,JF and C Peck

 1.0  Catering.

 1.1  R&R to do glasses as last time at 8 * 250 * 0.18p each, PJ asked CP to come up with a price for the same.CP suggested that glass hire was  removed from quote so that all glasses came from the same source,PJ to confirm

1.2  Menu: Mediterranean chicken + potatoes + salad

1.3  CP s Fridge hire at £250, PJ asked TP to come up with another price for this

1.4  CP to do opening drink, 10oz high balls to be used (note; who provides/hires these?)

1.5  Price of food to be £20 per head  (see budget)

1.6  Subsequent to this ,CP quote requires deposit and guarantees under terms and conditions.JC to pay deposit, £350,  when instructed by PJ who is getting insurance quote.

 2.0  Marquee

 2.1  Accaision quote discussed, price to include the following:

250 chairs, 25 tables ,band and kitchen annexes, dance floor,bar covering,toilets, 12 trestle tables.Still to be resolved ,entrance annexe and doors, toilet exit.A site drawing to be produced by CPC to be agreed

2.2  Deposit required £750.00, JC to pay invoice.

2.3  Internals to include decorations,flowers etc (see budget)

2.4  Externals to be heaters,generators (Mike Horn may not be able to provide this time),fencing, signage etc (see budget)

2.5  Band to be revisited by JF ,timings to be agreed to suit ball timings

 3.0  Bar etc

3.1  PJ proposed lease of bar, perhaps to Dave Morgan or Battledown brewery

3.2  Wine tasting at Gordons will be a Sat late pm ,PJ to arrange , other proposals such as Majestic to be visited plus any others.To be discussed in detail at next meeting

 4.0  General Items

 4.1  Notices to be put in local mags by CPC

4.2  CPC to approach corporate tables from last time,TP to see Chris Kelland

4.3  Hire of marquee on Sat/Sun to investigated by all (note post meet, no charity cricket match this year)

4.4  Price fixed at £55.00 a head

4.5   Tickets to be sourced by JF

 5.0  Charity (Maggies Centres) and Sponsorship

 5.1  CPC to discuss with MC ,suggested to them a list of possible sponsorships which have been sent,raffle prizes by them yet to be discussed ,meeting to be arranged 23/02/09

5.2  Approaches to be made to all likely sources.CPC has spoken to Yorke and Barnwood,Paxton asked to be notified in March

                         Marquee and all components inside and out £4600.00

                        Band £900.00

                        Catering £5250.00

                        Bar costs,general expenses £600.00

                        Contingency £500.00

                         Total £11850.00
